Lease and Contract Administration

Location: Minnesota Corporate Headquarters

Position Description: The position is responsible for timely, accurate and cost effective administration of all real estate leases, contracts and sub-leases, including abstracting and tracking all relevant agreement points. The position will also assist with making timely insurance claims and tracking resolution of claims. The successful individual must be able to work in a fast-paced professional environment utilizing communication, problem solving, negotiation and analytical skills. The individual must be very organized, detail oriented, and capable of functioning as part of a larger team.

Responsibilities Include:

  • Oversee the review, audit and maintenance of lease and contract related documents, files and databases.
  • Abstract new leases, contracts and amendments and maintain appropriate filing systems in both electronic and hard-copy formats.
  • Track lease and contract expiration dates and other critical dates and notify necessary departments regarding required action.
  • Coordinate lease and contract execution.
  • Developing a lease renewal process that is forward looking (at least two years).
  • Work with appropriate departments in analyzing existing stores that are up for renewal.
  • Review incoming correspondence and screen for priority.
  • Interact with a variety of departments concerning store construction, maintenance and renovation work at company facilities.
  • Ensure reporting and communications is frequent and bi-directional with all departments. Act as "liaison" to field and corporate support center staff in answering lease and contract related questions and inquiries.
  • Insure accurate interpretation and distribution of lease and contract information to appropriate departments.
  • Assist with general liability insurance claims administration process ensuring all claims are made on a timely basis with insurance carriers.
  • Track resolution of general liability insurance claim resolution with carriers.

Education/Training/Experience:

  • College degree, paralegal certificate or other post-secondary degree required.
  • 3 years minimum experience in Real Estate, Legal, Lease Management, Contract Administration or related fields.
  • Ability to read and comprehend complex legal documents.
  • Excellent computer skills (Word, Outlook, Excel).
